Executing The Established Activation Plan

Use the Execution section of the Growth Report to close activation gaps, complete planned channels, and keep your events on track before crunch time.

Now that your community has aligned on goals and defined an Activation Plan, it is time to execute. The Execution section of the Growth Report is your activation health check. It shows which setup steps are complete, which channels still have gaps, and which events are not yet at 100% plan execution.

Use this section regularly — not just during initial setup — to close activation gaps before event crunch time.


Why execution matters

Your Growth Report projections are based on the channels included in your Activation Plan. Planning a channel is step one. Results depend on completing it.

When a planned channel is incomplete, the Growth Report highlights the gap between On Target and Planned. Completing channels early gives InGo more time to activate participants, generate advocate posts, and drive clicks before event day.


What you can manage in Execution

The Execution panel provides shortcuts to three key areas, depending on your plan:

  • API — connect your registration platform so InGo can sync events and participants automatically, reducing manual work related to participant uploads.
  • VIP Notifications — review and manage the default email schedule.
  • Events Needing Execution — see which events still have incomplete activation steps, such as registration install, VIP Notification sends, or VIPShare in your emails.

Connect your registration platform

If your plan includes VIP Notifications, connect your platform through the API setup flow.

Select Connect a Platform to choose where your events and participants are managed. Supported platforms include RainFocus, Bizzabo, Cvent, Swoogo, Visit, Sessionboard, ASP Events, and other supported systems.

Connecting your platform syncs event and participant data automatically, so InGo stays aligned with your registration activity without requiring manual uploads.


Set your VIP Notification schedule

VIP Notifications are single-purpose, hyper-personalized emails that prompt selected participants — such as speakers, sponsors, exhibitors, or attendees — to post about your event on social media.

These are not general marketing emails. They are sent directly to individuals based on their registration or VIP status and can contribute significantly to total InGo results. Prioritizing VIP Notifications over broad communications can help improve conversion.

Default schedule

In the Execution section, you can review and adjust the default VIP Notification schedule.

A typical schedule includes sends at:

  • 90 days before the event
  • 75 days before the event
  • 60 days before the event
  • 45 days before the event
  • 30 days before the event
  • 15 days before the event
  • 7 days before the event
  • 1 day before the event

You can adjust the timing and quantity by event to match your campaign strategy. While you may reduce the number of VIP Notifications sent, sending fewer than four may hinder conversion and impact results.

A longer schedule creates a steady drumbeat of advocacy across the full event cycle. A compressed timeline may require more focused outreach closer to the event.

Re-engagement tip

If a participant has already shared all available post options, they will not receive a new VIP Notification because there is nothing new for them to share.

To re-engage previous advocates, update the posting text or add new creative before your next send. When new content is available, previously active advocates become eligible to receive the notification and post again.


Review events needing execution

The Events Needing Execution area shows events in your account that are not yet at 100% plan execution.

Use this list to identify the next best action for each event. An event may need a registration install, VIP Notifications, VIPShare in emails, or another planned channel to be completed.

This section helps your team quickly answer:

  • Which events still need action?
  • Which channel should be completed next?
  • Who needs to follow up?
  • What can we activate now to improve projected results?
